What is email in Office 365?

  • It’s a lot like the mail system we have now. The main difference is that your mail will be hosted by Microsoft rather than at the University.
  • You’ll get a bigger mailbox, at least 50GB.
  • It has better integration with other Office 365 services, such as Microsoft Teams.
  • The web interface (https://outlook.office.com) has a more modern look and is more fully-featured than our current web interface.

What do I “miss out on” when my mail is NOT in Office 365?

This is not an exhaustive list, but rather the things we have been told about or come across.

  • The ability to use Microsoft “To Do”.
  • Access to some applications in Teams, such as the organization tree.
  • Being able to change your photo in Teams.
  • The ability to see the “Calendar” in Teams, and schedule Teams meetings.
  • The ability to use the new Zoom Outlook plugin.

How do if I know if my email is in Office 365?

The easiest way is to go to https://outlook.office.com

Log in with your email address and password (some computers will log you in automatically when you are on-campus).

  • If you see your email – your mail is in Office 365.
  • If you get a frowny face, and “something went wrong error” – we have not yet migrated your mail.

Who has their mail in Office 365?

  • Hundreds of current staff have their email in Office 365 already.
  • New staff will be created in Office 365 as of June 21st 2020.
  • We recently moved all “non-current” staff – so if you come back to the University after being employed elsewhere, or your contract expires, we have likely moved your email.

When is my mail moving?

You can send a request to AskOtago to get your mailbox moved. If you have access to shared mailboxes, it is best to get the mailboxes moved together.

We require you to either be using a supported email client, or to be happy to access your email via the web interface at https://outlook.office.com

The migration itself is painless, with roughly a 30 minute period where you may not be able to use your email – but there are some steps that you may need to carry out afterwards; Mac and mobile clients require the email to be reconfigured. That process is pretty simple and most people can manage this themselves.
