Only the host can assign someone to type Closed Captions, and only one participant can be assigned during the meeting.<\/p>\n<h4><a href=\"#ccon\">Turning On Closed Captioning<\/a><\/h4>\n<h4><a href=\"#choosetypist\">Choosing Who Will Type<\/a><\/h4>\n<h4><a href=\"#aftermeet\">Accessing Your Closed Captions After the Meeting<\/a><\/h4>\n<h4><a href=\"#usefulnotes\">Useful Notes<\/a><\/h4>\n<h2 id=\"ccon\" style=\"margin: 0in;font-family: Calibri;font-size: 13.0pt\"><span style=\"font-weight: bold\"><span style=\"text-decoration: underline\">Turning On Closed Captioning<\/span><\/span><\/h2>\n<p><em>Please note: This is enabled by default on all Otago Zoom accounts, so the steps below can be skipped, however if it is not enabled on your account for some reason, please do the following:<\/em><\/p>\n<p style=\"margin: 0in;font-family: Calibri;font-size: 12.0pt\"><span lang=\"en-US\" style=\"text-decoration: underline\">Step 1: Sign into your Zoom Web Portal<\/span><span lang=\"en-US\"> (link here: <\/span><a href=\"https:\/\/blogs.otago.ac.nz\/zoom\/?page_id=829\"><span lang=\"en-NZ\">Install and Sign into the Zoom App<\/span><\/a><span lang=\"en-US\" style=\"text-decoration: underline\">)<\/span><\/p>\n<p lang=\"en-US\" style=\"margin: 0in;font-family: Calibri;font-size: 11.0pt\">Go to <a href=\"https:\/\/otago.zoom.us\/profile\" target=\"_blank\" rel=\"noopener noreferrer\">https:\/\/otago.zoom.us\/profile<\/a><\/p>\n<p lang=\"en-US\" style=\"margin: 0in;font-family: Calibri;font-size: 11.0pt\">Sign in with your University of Otago credentials, via the &#8220;Sign in with SSO&#8221; option.<\/p>\n<p lang=\"en-US\" style=\"margin: 0in;font-family: Calibri;font-size: 12.0pt\"><span style=\"text-decoration: underline\">Step 2: Change your Settings to allow Closed Captioning in your meetings<\/span><\/p>\n<p lang=\"en-US\" style=\"margin: 0in;font-family: Calibri;font-size: 11.0pt\">On the left hand panel, click on Settings<\/p>\n<p lang=\"en-US\" style=\"margin: 0in;font-family: Calibri;font-size: 11.0pt\">With the Meeting Tab selected, scroll down until you see an option for &#8220;Closed Captioning&#8221; (you can scroll, or go straight to this by &#8220;searching the page&#8221; &#8211; use shortcut Ctrl+F, then type in &#8220;closed captioning&#8221;. This should highlight and jump you to the correct part of the page.<\/p>\n<p lang=\"en-US\" style=\"margin: 0in;font-family: Calibri;font-size: 11.0pt\">Ensure that the setting is turned ON (See screenshot below)<\/p>\n<figure id=\"attachment_1218\" aria-describedby=\"caption-attachment-1218\" style=\"width: 359px\" class=\"wp-caption aligncenter\"><img loading=\"lazy\" decoding=\"async\" class=\"wp-image-1218\" src=\"https:\/\/blogs.otago.ac.nz\/zoom\/files\/2020\/09\/ZoomWP-Closed-Captioning-ON-600x121.png\" alt=\"\" width=\"359\" height=\"80\" \/><figcaption id=\"caption-attachment-1218\" class=\"wp-caption-text\">Once this step has been completed once, you won&#8217;t have to do this again. Closed Captioning will be enabled on all meetings that you schedule.<\/figcaption><\/figure>\n<p lang=\"en-US\" style=\"margin: 0in;font-family: Calibri;font-size: 11.0pt\">Now, when you start a meeting, you will see the &#8220;Closed Caption&#8221; option on the bottom of the Zoom window.<\/p>\n<figure id=\"attachment_1221\" aria-describedby=\"caption-attachment-1221\" style=\"width: 442px\" class=\"wp-caption aligncenter\"><img loading=\"lazy\" decoding=\"async\" class=\"wp-image-1221 size-full\" src=\"https:\/\/blogs.otago.ac.nz\/zoom\/files\/2020\/09\/ZoomAPPWIN-Close-Caption-in-Meeting.png\" alt=\"\" width=\"442\" height=\"52\" \/><figcaption id=\"caption-attachment-1221\" class=\"wp-caption-text\">From the expanded menu, you can choose to &#8220;assign a participant to type&#8221;, &#8220;I will type&#8221; and &#8220;Copy the API Token&#8221;.<\/figcaption><\/figure>\n<h2 id=\"choosetypist\" style=\"margin: 0in;font-family: Calibri;font-size: 12.0pt\"><span style=\"font-weight: bold\">Choosing Who Will Type<\/span><\/h2>\n<h2 style=\"margin: 0in;font-family: Calibri;font-size: 12.0pt\"><span style=\"font-weight: bold\">A\u00a0participant<\/span><\/h2>\n<p style=\"margin: 0in;font-family: Calibri;font-size: 11.0pt\">If you have organized with someone in your meeting to type notes during the session, then you can choose this option once they have joined the meeting, and designate this person to type closed captions.<\/p>\n<p style=\"margin: 0in;font-family: Calibri;font-size: 11.0pt\">Note: You should always double check with the person before assigning them to type closed captions.<\/p>\n<h2 id=\"typemyself\" style=\"margin: 0in;font-family: Calibri;font-size: 12.0pt\"><span style=\"font-weight: bold\">I will type<\/span><\/h2>\n<p style=\"margin: 0in;font-family: Calibri;font-size: 11.0pt\">If you want to type notes for participants to be able to access at the conclusion of your meeting, or if you are the Host for a meeting where you are not the presenter (and are confident in your typing abilities!) you could choose to type the closed captions yourself.<\/p>\n<h2 id=\"apitoken\" style=\"margin: 0in;font-family: Calibri;font-size: 12.0pt\"><span style=\"font-weight: bold\">Copy the API Token<\/span><\/h2>\n<p style=\"margin: 0in;font-family: Calibri;font-size: 11.0pt\">Some third party software have integration with Zoom and can perform live transcriptions of speech to closed captions. The API token allows the software to access the meeting audio, and caption the speech live. While this method does do much of the work of closed captioning the meeting, it is prone to making errors. It is recommended that you proofread and edit the captions after the meeting to ensure that the text is accurate.<\/p>\n<p style=\"margin: 0in;font-family: Calibri;font-size: 11.0pt\">Currently, the University of Otago and eConferencing do not support any of these third party providers.<\/p>\n<h2 id=\"aftermeet\" style=\"margin: 0in;font-family: Calibri;font-size: 12.0pt\"><span style=\"font-weight: bold\">After the Meeting<\/span><\/h2>\n<p style=\"margin: 0in;font-family: Calibri;font-size: 11.0pt\">Before the meeting has ended, you can save a file with the closed captions to your computer by selecting: &#8220;Save closed caption history&#8221;.<\/p>\n<p style=\"margin: 0in;margin-left: .75in\"><img loading=\"lazy\" decoding=\"async\" class=\"wp-image-1224 aligncenter\" src=\"https:\/\/blogs.otago.ac.nz\/zoom\/files\/2020\/09\/ZoomAPPWIN-Close-Caption-Window-Save-outlined-600x338.png\" alt=\"\" width=\"389\" height=\"226\" \/><\/p>\n<figure id=\"attachment_1223\" aria-describedby=\"caption-attachment-1223\" style=\"width: 600px\" class=\"wp-caption alignnone\"><img loading=\"lazy\" decoding=\"async\" class=\"wp-image-1223 size-medium\" src=\"https:\/\/blogs.otago.ac.nz\/zoom\/files\/2020\/09\/ZoomAPPWIN-Close-Caption-Saved-Message-600x31.png\" alt=\"\" width=\"600\" height=\"31\" srcset=\"https:\/\/blogs.otago.ac.nz\/zoom\/files\/2020\/09\/ZoomAPPWIN-Close-Caption-Saved-Message-600x31.png 600w, https:\/\/blogs.otago.ac.nz\/zoom\/files\/2020\/09\/ZoomAPPWIN-Close-Caption-Saved-Message-768x40.png 768w, https:\/\/blogs.otago.ac.nz\/zoom\/files\/2020\/09\/ZoomAPPWIN-Close-Caption-Saved-Message-500x26.png 500w, https:\/\/blogs.otago.ac.nz\/zoom\/files\/2020\/09\/ZoomAPPWIN-Close-Caption-Saved-Message.png 810w\" sizes=\"auto, (max-width: 600px) 100vw, 600px\" \/><figcaption id=\"caption-attachment-1223\" class=\"wp-caption-text\">Once you click this, a message will appear in the window with a link to &#8220;Show in Folder&#8221;.
