File Storage – Post Grad


Storing your files correctly and safely should be a priority for all students. Knowing the basic structure of the student desktop will greatly assist you in this endeavour. We recommend storing files that you are currently working on in the H Drive documents folder. Files that you wish to backup, or old files you no longer are working on, should be stored in your OneDrive.

What is my H Drive?

H Drive is storage specific to your student desktop. This means that no matter where you log into your student desktop from, the files will always be the same. This is handy if you like to do work on more than one machine.

H Drive features include:

  • Holds 3GB of data. This can be increased to 5GB in exceptional circumstances.
  • Accessible only through the student desktop.
  • Fast – Good for documents you are currently working on.
  • Hosted by the University.

Where is my H Drive?

To get to your H Drive click the File Explorer icon in the toolbar at the bottom of your student desktop.

Once File Explorer is open navigate to the drive that is named after your student user name and has H: in brackets.

What are these folders in my H: Drive?

Once you are in your H Drive you might notice a number of folders that were not created by you. Do not delete these folders. They are required by the system.

Feel free to create as many new folders here as you wish. The better you organise your file system, the easier finding things will be!

What is my OneDrive?

OneDrive is 1TB (terrabyte) of online storage that comes with your University enrollment. OneDrive is accessible at anytime through the internet, and also through the Student Desktop. This storage space is much larger than your H Drive, but a little slower, so good for storing files that you don’t need regularly.

OneDrive features include:

  • Very large storage space.
  • Reliable – Good place to backup important documents.
  • Available through both Student DesktopStudent Webmail, and the internet.
  • Slower
  • Hosted externally so may not satisfy confidentiality or security requirements.

Where can I find my OneDrive?

OneDrive is hosted externally in the cloud. This means you can access your OneDrive anywhere you have access to the internet. Below are the main ways to get to your OneDrive.

1) Through a Web Browser

You can log into OneDrive through a web browers by going to this link, clicking Sign In, and entering your full student webmail address. You will be redirected to an Otago University login portal.

2) Through the Student Desktop

When you are logged into your student desktop you can easily access your OneDrive through File Explorer. Click the File Explorer icon at the bottom of your student desktop.

Once File Explorer opens, click on the OneDrive as highlighted in the picture below. This opens up your OneDrive folder for you to use.



3) Through Student Webmail

Log into your Student Webmail here.

Once you have logged in, click the menu icon in the top left hand corner. This will reveal a list of all Office 365 Online Tools. Click on the OneDrive option to open your personal OneDrive.
