Alerts

To keep up-to-date with changes to content in OURDrive, you can set up an alert to send you an email for particular lists or libraries. You can specify the frequency of alerts (Immediate, Daily Summary or Weekly Summary) as well as the type of changes for which you wish to be notified.

Each alert you receive contains a link to modify your alert settings should you wish to change the settings.

Set an alert on an entire library or list

Open the list, library or item you wish to be alerted about.

From the ribbon, select the List (or Library) tab, click the Alert Me icon and choose Set alert on this list.

Select options and when finished, click OK.

Select the frequency you wish to be notified by choosing a When to Send Alerts option. When changes are made to that list or library, you will receive an email alert to notify you.

Note: You may not want immediate notifications as you will get an email every single time a modification made.

Set an alert on an individual item

You can set alerts on individual documents, as well as list items, such as tasks and discussions.

List item

For an individual item in a task list, press the ellipsis (…) next to the title. In the next window, press the ellipsis and select Alert me.

Then, in the Alerts window, set the criteria as you wish.

Document

In a library, select the file you’d like to be alerted about. Then, in the Files tab on the ribbon, select Alert Me and set criteria as you like.

Managing alerts

All alert emails contain a link to Modify My Alerts.

Alternatively press the Manage My Alerts from the Alert Me button in the ribbon in any list or library to view/edit all your alerts.
