In collaboration with the Finance One User Group and Technology One a number of enhancements have been developed and released into the Production environment this month.
Whether you’re a new or existing Finance One User, you’ll find that these enhancements will make it easier for you work in the various modules.
Enhancements have been developed for these Finance One modules:
Purchasing
Selecting a Supplier
A new Supplier Classification field has been added to each supplier which will hopefully make finding suppliers easier when creating an order. Hence, when selecting a supplier for an order:
Entering a search criteria of plumb will return all supplier that either have “plumb” in their name, or have a category as one of the plumbing classifications:
Invoice Enquiry and Viewing
When using the Purchase Order Enquiry function, there is now a link to view the invoice that has been matched to an order. Scrolling down to the Invoice Details section of the Order, (1) you will see the invoice number (2). Use the new function Invoice Enquiry (3) to match the Invoice Number shown, to retrieve the invoice that has been matched (highlight and copy the selected number text).
Clicking the Invoice Enquiry Function will open the Reference Number function. Paste the Invoice number into the Reference Number field (4) and click ‘Retrieve’.
The hyperlink will then open the invoice payment transaction details and from here you can open the attachment to view the Invoice.
Accounts Payable
A new format APCRDPU has been created for Credit Notes relating to Purchase Orders.
In the past, if a credit was received for a Purchase Order invoice, in order to match the invoice to the PO, the PO had to be artificially increased, and a Credit applied manually. Going forward, Credit Notes will be able to be matched to an open/receipted Purchase Order.
E.g. A Purchase Order has been raised for $100. An invoice is received for $120 which cannot be matched to a $100 order. A credit is received for the over-charge of $20. Both credit and invoice can now be applied to the order, and the Department need take no further action.
Accounts Payable and Accounts Receivable Transaction Screens
Where there is only one document in a document file (this is the case for most of our document processing), an over-night function now runs to populate Narration1 with the name of the Debtor/Creditor/Student/Employee etc to whom the invoice/reimbursement relates to.
This should make it easier when reviewing documents that you have entered into the system, to see from the front screen who the document is for without having to open it.
If Narration1 is not already in your grid, use the Options -> Customise Columns icon, to add Narration1 into your grid.
The Transaction Entry tab should now look something like:
